This policy explains what information Byb collects, why, who can see it, and the choices you have.
Byb is an app for organising casual football: picking fair teams, tracking results, and running the group. It is provided by Byb. Sports Ltd, a company registered in England and Wales (company number TBC), TBC. In this policy, “we”, “us” and “our” mean Byb. Sports Ltd.
We are the controller of the personal information described here under UK data protection law (the UK GDPR and the Data Protection Act 2018). You can contact us about privacy at support@bringyourbibs.com.
Only you and the Byb team can see your requests. Your Manager and your group can't.
We don't collect your precise location, contacts or browsing history, and we don't use advertising trackers.
Data protection law requires a lawful basis for each use. These are ours.
| What we do | Information used | Lawful basis |

| Run your group: games, in/out, waitlist, teams, results, stats, table and match history | Profile, game activity, results, ratings | Contract |
| Match you to a guest profile your Manager made | Mobile number, email, name | Legitimate interests: keeping your history together, which you'd expect |
| Balance teams and calculate ratings | Ratings, votes, results, positions | Contract |
| Send notifications (game open, teams out, voting open, moved off the waitlist) | Notifications, game activity | Contract: they're part of how Byb works. |
| Keep records of subs, fines and the kitty | Names, amounts, reasons, paid, waived or refunded status, and how it was paid | Legitimate interests: helping your group keep track of money between members |
| Let players pay subs and fines online, mark them paid automatically, and handle refunds | Amount, what it's for, payment reference and status, name, email (for receipts) | Contract |
| Give you a payment history and receipts you can save or share | Receipt number, amount, any payment fee, what it was for, date, payment reference, card type and last four digits, your name and email | Contract |

| Let a Manager connect a Stripe or PayPal account to their group | Stripe account ID and whether it's ready to take payments, or the PayPal email address the Manager enters | Contract |

| Keep Byb secure and prevent misuse | Security logs, device information | Legitimate interests |
| Fix problems and improve the app | Error reports, device and app information | Legitimate interests |
| Send service emails (sign-in links, important changes) | Contract | |
| Answer your support requests, and email you when you open one, when we reply and when it's resolved | Name, email, your requests and messages, screenshots you add, app and phone details if you include them, your role in the group it's about | Contract: helping you use Byb is part of the service. For requests about your personal data: legal obligation |
| Ask how we did, and improve our support | Your rating and comment, how long replies took | Legitimate interests: making our support better. Rating is optional. |
| Meet legal obligations and respond to lawful requests | Whatever the request requires | Legal obligation |
We don't send marketing emails. If we ever do, we'll only send them with your permission, and you'll be able to unsubscribe at any time.
Byb calculates ratings and picks balanced teams automatically. This decides which team you're on and the ratings your group sees. It doesn't have legal effects or any similarly significant effect on you, but if you think something is unfair:
| Who | What they can see |
|---|---|
| Members of your group | Your name, nickname, photo, position, overall rating and attributes, tier, stats, form, awards, whether you're in or out, your team, goals and Man of the Match. Also the group's full subs and fines lists, including what you owe, have paid, had waived or refunded, and whether you paid by card, by PayPal, by bank transfer or in person. If your Manager has turned on bank transfer, members also see the account name, sort code, account number and any payment link the Manager added, so they can pay it. Nobody in the group sees your card or PayPal details, or your own bank details. |
| Managers and Assistant Managers of your group | Everything members see, plus base ratings and the ratings change log, the waitlist, payment references, and receipts for payments made to the group (without your email address). Only Managers can add or change subs and fines, or give refunds. The Manager who connected the group's Stripe or PayPal account can also see your payments there, under Stripe's or PayPal's terms. A Manager can see a mobile number or email address only if they entered it themselves. |
| Only you and the Byb team | Your support requests, your messages and screenshots, and our replies. Not your Manager, your group or anyone else. |
| Nobody | Individual votes. Only the results of a vote (for example, who won Man of the Match) are shown. |
| Anyone with a game link | A game invite link shows the group name, date, time, venue, format, price and the short names of who's in, without needing an account. Only share links with people you want to invite. |
| Other members of other groups | Nothing. Each group's information is only available to that group. |
Images you share. Teams posters, award cards and player cards can be saved or shared to apps like WhatsApp. Once shared, they're handled under that app's terms and privacy policy.
We use these companies to run Byb. They can only use your information to provide their service to us, under contracts that protect it.
We may also share information if the law requires it, to protect someone's safety, or as part of a sale or reorganisation of our business (in which case this policy would still apply to your information). We never sell personal information or share it for advertising.
Our main database is hosted in the EU. Some of our providers, including Netlify, Apple, Google, Stripe and PayPal, may process information in the United States or elsewhere.
When information leaves the UK, we make sure it's protected: either the country has been approved by the UK government as having adequate protection (for example, US companies certified under the UK Extension to the EU–US Data Privacy Framework), or we use the UK's approved contract terms (the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses).
| Information | How long |
|---|---|
| Your account and profile | While your account is open. Deleted within 30 days of you deleting your account. |
| Your part in past games | Results stay so your group's table and history still add up, but after you delete your account your name is replaced with “Former player” and nothing links back to you. |
| Guest profiles nobody has claimed | Until a Manager removes them or the group is deleted. We delete guest profiles that haven't been in a game for 6 months. |
| Votes | While the group exists, so ratings can be worked out. Never shown individually. |
| Subs and fines records | While the group exists, unless a Manager deletes them. After you delete your account, your name on them is replaced with “Former player”. |
| Online payments and receipts | 6 years after the payment, because groups may need them for their accounts, even if you delete your account or leave the group. If you delete your account, your email address is removed and only your name stays on the receipt. If the group itself is deleted, its payment records go with it. Stripe and PayPal keep their own payment records under their own policies. |
| A group a Manager deletes | Removed within 30 days. |
| Support requests, messages and screenshots | 2 years after the request is resolved, so we can follow up if a problem comes back. Deleted with your account if you delete it sooner. |
| Security logs | Up to 90 days. |
| Backups | Overwritten within 1 day. |

If we make important changes, we'll tell you in the app or by email before they take effect. The date at the top shows when this policy was last updated.
